Job Purpose and Impact

 


The Administrative Assistant Supervisor will supervise a team of local executive administrative assistants within Cargill Administrative Services as well as provide executive support to Cargill leader(s). In this role, we seek a professional with strong leadership skills to lead a small team of assistants, as well as work alongside them delivering calendar management, meeting support, global travel coordination, communications, and other action items with a high degree of accuracy, efficiency, and professionalism. The person in this role will report directly to the Global Administrative Services Leader and will be responsible for staff training and workload management, performance evaluations and career coaching, hiring recommendations and onboarding, stakeholder management, and collaboration with office services to improve efficiencies in the way we work. 


Key Accountabilities

 


•    Strong calendar and time management for leader with a very busy schedule and the potential for changing priorities. Accept, categorize, and resolve meeting conflicts in a timely fashion.

•    Own all meeting scheduling needs for leader. Take all incoming meeting requests, coordinate meeting space, assist with meeting needs (supplies, catering) and facilitate as needed.

•    Coordinate complex international travel in a timely manner, generate visas, passport management, document management and handle expense reports with insight on the cost of potential options while maintaining Leader’s preferences.

•    Supervises, coordinates, and provides leadership to and reviews the work of assigned staff including, but not limited to performance evaluations and salary reviews.

•    Manages stakeholder satisfaction, feedback, and inquiries for those supported by the team within Administrative Services.

•    Works as a part of the Administrative Services leadership team in learning, engagement, and process improvement to develop best practices, improve effectiveness and efficiencies, better leverage talent and encourage a team environment.

•    Responsible for personnel decisions related to hiring, performance and disciplinary actions for your direct reports. You will also spend time completing the same tasks as employees on your team.

•    Other duties as assigned.

Qualifications

 


Minimum Qualifications


 


•    Bachelor’s degree in a related field or equivalent experience

•    Minimum one year of directly related work experience.

•    Prior Executive Assistant experience




Preferred Qualifications


 


•    One year of supervisory experience
