Job description
The position of Contract Billing Specialist is to assist the accounting department all aspects of customer billing and accounts receivable on a weekly basis and assist in the overall organization of the office, under the direct supervision of the Accounting Manager.
GENERAL RESPONSIBILTIES
· General Billing: Irrigation, Arbor, Fert/Pest billing on a daily basis mail/email/customer portals
o Confirm that estimates created by our ERP are billed
o Confirm all material purchases are billed (as applicable)
· Maintenance Billing: Lawn Maintenance Customers with Annual Contracts that are billed on a monthly basis through mail/email/customer portals
· Review and Audit contract income for monthly billing to ensure accuracy
· Maintain Contract Portfolio Lead sheet
· Be able to address contract issues (Renewal Work Tickets, Final billing of terminated contracts)
· Assist with End of Month Reporting for close
o Variance Reporting
o Over/Under Detail
o Est Material Cost vs Actual Material Cost
o Est Sub Cost vs Act Sub Cost
o Review Overhead/Internal Work Tickets
o Aspire (ERP) vs. Accounting Software A/R Balance
o Validate Deposits
o Prepare Revenue and COGS Journal Entries
· Customer Contact
· Work Tickets (canceled, completed, sequence issues accordingly)
· Enter Subcontractor Purchase Receipts
· Work with operations to discuss AR disputes from the customer and assist with resolutions
· Handle billing issues
· Back up office staff with various tasks and coverage

QUALIFICATIONS& EDUCATION
· 3+ years of related field preferred or 2 year degree in business.
- Knowledge of accounting preferred
- Previous experience working in the construction industry or AIA billing preferred
- Must have strong verbal and written communication skills
- Able to work independently and as part of a team
- Strong problem-solving skills and work ethics
· Proficient in Microsoft Outlook, Work and Excel (Vlookups, Pivot Tables)
