The Coordinator, Planned & Individual Giving provides support to the Planned Giving (PG) and Individual Giving (IG) Teams. The position will perform a variety of duties to further donor stewardship, cultivation and solicitation for Ocean Conservancy’s planned giving, mid-level and major donors and prospects. Through this work, the coordinator will exercise good initiative, independent thinking and judgment, and high attention to detail. This position reports to the Director of Planned Giving with a dotted line to the Director of Individual Philanthropy.
- Process incoming mail for the PG and IG teams including scanning documents for distribution to remote employees and coordinating with PG team to deposit checks.
- Monitor team mail and email inboxes and respond to correspondence daily, including requests for information and donor feedback; ensure a timely response.
- Support mid-level, major donor, and estate distribution acknowledgement process, including scanning, batching and uploading information into database, creating new member packets, hand addressing and stamping envelopes and adding backups to records in database.
- Support and mail out in-house donor mailings for PG and IG teams, ensuring exceptional attention to detail.
- Fulfill PG information requests through preparation and mailing of donor packets.
- Support process of digitizing PG records by scanning historic files and new documents as they are received.
- Organize and facilitate team meetings and conference calls, taking and distributing notes as needed.
- Assist with event planning including compiling invitation lists, mailing invitations, tracking responses, creating nametags, preparing background information and assisting with follow-up correspondence.
- Submit and track expense invoices for approval and payment.
- Use Raiser’s Edge database to create, update and maintain donor records, ensuring accuracy.
- Generate mailing lists and reports to facilitate activities with individual and planned giving donors as well as foundation and corporate funders.
- Monitor supplies inventory and place orders as necessary.
- Order and oversee catering services for team meetings and internal events when requested.
- Exhibit respect for and excellent service to donors and all supporters of Ocean Conservancy through prompt and courteous communication.
- Support the Planned Giving and Individual Giving teams before, during and after development travel.
- Follow and uphold the department’s policies and procedures for best practices in development.
- Embrace a mission-driven, cohesive and supportive attitude within the organization.
- Perform other tasks as assigned.
- Minimum of two years of administrative, fundraising, or related work experience.
- Ability to work in an open floorplan office environment a minimum of two to three days each week and occasionally more frequently.
- Personable, productive, and able to successfully manage multiple processes simultaneously without close supervision.
- In-depth knowledge of Microsoft Office applications (Word, Excel, PowerPoint) and fluency in mail merge.
- Ability to work individually but also as part of a strong team, with self-direction and discipline.
- A high-level performer who remains acutely attentive to details and adheres strictly to deadlines and deliverables.
- Ability to accept and execute assignments from multiple people and manage priorities accordingly.
- Strong written, verbal, and interpersonal communication skills, including knowledge of correct grammar and syntax, as well as the ability to effectively communicate with a variety of audiences. Strong proofreading and editing skills desired.
- Demonstrated ability to adapt to new software and technologies.
- Prior experience working in nonprofit Development preferred.
- Working knowledge of Raiser’s Edge fundraising software or other comparable complex database preferred.
- Ability to travel (infrequently) if needed.

- Associate’s degree or equivalent work experience required.
Ocean Conservancy is committed to equity in its pay practices and posts expected hiring ranges for each of its positions. Salary minimum is $48,925; salary midpoint is $57,886. The midpoint represents the market rate for a position, and a fully experienced employee may be paid at this level. Compensation will be commensurate with the candidate’s specialty skills, years of experience, location, and unique background.
