Job Description



POSITION PURPOSE:



Assist in managing project logistics and support for offices located within Alaska. Proactively provides professional and administrative support services for construction and environmental project managers. Assists all departments by providing administrative support on special projects.



ESSENTIAL DUTIES AND RESPONSIBILITIES:





+ Provides administrative support for Project Managers including composing and editing correspondence, reports, and meeting materials, first drafts of presentations, travel arrangements and preparation of expense reports, and vehicle usage reporting.



+ Ensures tasks and projects are appropriately organized and tracked, and timelines are met in accordance with applicable statutes, obligations, deadlines, and internal corporate goals.



+ Track, monitor, and ensure current vehicle registration and insurance documents are attached to each fleet vehicle. Duties may include visits to DMV or UMV. Assists in managing regional facilities, ensuring compliance with lease terms, oversight of utilities and services, management of office equipment, facility maintenance, and office service needs.



+ Process JBER or other Base Pass Requests from the Project Manager on an as-needed basis. Includes communicating with Base Inspectors, Project managers, and Contractors.



+ Assists IT with delivering and tracking IT equipment, such as copiers, jetpacks, any mobile phones, laptops, office keys, and FedEx Shipments.



+ Assists all regional employees in the (Costpoint) Deltek system with initiating Travel Authorizations and possible follow-up of their Expense Reports.



+ Reconciles receipts in the Visa Intellilink system for any charges for the offices from any of the operating North Wind Group companies.



+ Keeps the Buyers Lists updated and sent to Vendors for North Wind regional office/job locations, including JBER and surrounding Anchorage offices.



+ Provides Easy-Biz Travel for all employees, acting as Administrator.



+ Assembles and delivers the OSHA Safety Rules to each Alaska Jobsite.Coordinates with staff on corporate events such as annual meetings, informational meetings, and social events.



+ Order, distribute, and manage inventory of office supplies in accordance with company policy and budget.



+ Communicates with the Janitorial and Building Maintenance at the C-Street office as well as the Wasilla office.



+ Performs other duties as necessary and as assigned.





Qualifications

Education and Experience:



Education: High School Diploma



Experience: Two (2) to Five (5) years of experience providing administrative support to management and staff.



Skills and Abilities:





+ Excellent interpersonal skills: the ability to work effectively and cooperatively with all levels of management and staff, affiliated-company employees as well as outside business associates.



+ Understand North Wind's mission, vision, and strategic focus areas and incorporate knowledge into daily activities.



+ Excellent oral and written communication skills, including telephone etiquette, thorough knowledge of proper grammar, advanced vocabulary, spelling, editing, and proofreading skills.



+ Good organizational skills: ability to make decisions, solve problems, and exercise good judgment.



+ Ability to review documents, while paying close attention to detail to determine appropriate routing or processing.



+ Ability to work independently with minimal supervision, as well as to accept direction on given assignments and in a team environment.



+ Make decisions, solve problems, and exercise excellent judgment.



+ Proficient in using Microsoft Office products, such as Word, Excel, PowerPoint, and industry-standard computer software and databases.



+ Knowledge of general business formats and procedures.



+ Familiarity with the operation of standard office equipment.



+ Associate degree preferred.





SPECIAL REQUIREMENTS:

PHYSICAL DEMANDS:



While performing the duties of this job, the employee will be sitting for long periods of time in an office environment. Sedentary physical workload. Required to have a close visual acuity to perform activities such as viewing a computer terminal and extensive reading; specific physical requirements include, but are not limited to, sitting, walking, talking, hearing, and performing repetitive motions. The employee is often required to use hands or fingers to handle or feel and reach with hands and arms. The employee must occasionally lift and/or move up to 20 pounds.



WORKING ENVIRONMENT:



The majority of the work is conducted indoors in a standard office environment. The employee may be exposed to moving mechanical parts. The noise level in the work environment is.
