The Donor Recruitment Department is seeking a part-time Administrative Associate to provide complex operational support to a results driven team in the efforts of recruiting community blood donors to mobile blood drive and fixed site operations. Provides scheduling and coordination support for up to 1,000 blood drives per year. Working under minimal supervision, the ideal candidate will possess excellent organizational skills and attention to detail. Ability to successfully interact with a diverse population and with a high level of customer service is required. Advanced software and email experience required. Schedule is 20 hours per week, including days with occasional weekends.
Core Duties include:
Oversee and perform duties associated with scheduling blood drives, including blood drive calendar management, identifying and scheduling viable blood drives for both mobile and center operations. Secure and maintain documentation required for hosting blood drives. Manage inventory of donor promotional items.
Identify and resolve complex operational issues related to the scheduling of mobile drives, including staffing constraints, vehicle availability, mobile calendar conflicts, and projection accuracy concerns.
Responsible for the production and distribution of blood drive publicity materials, including creating, printing, and tracking of materials. Assist with administering logistics for large blood drives including working as liaison with Marketing Department on creation of materials.
Responsible for leading the administrative functions of the department, including managing department purchases and receipts, compose and draft correspondence to donors and Blood Drive Coordinators, maintaining office supplies and equipment, and scheduling of conference rooms. Serve as a resource on procedures and general inquiries, including donor comments and surveys. Coordinates office moves.
Create and manage complex reports and spreadsheets which may utilize specialized software and systems, fact check data, make recommendations based on reports.
Act as primary liaison for external donor/blood drive coordinator recruitment/retention systems. Act as project lead for necessary upgrades to systems. Work closely with internal IS staff on troubleshooting and system management.

High school diploma and 5 years of administrative experience required; two year college degree preferred.
