Job Description

The Summer Camp Registrar executes administrative and clerical functions related to registration of summer campers by performing the following:

 

ESSENTIAL DUTIES AND RESPONSIBILITIES

 

• Answers incoming telephone calls.  Provides information and answers questions about programs, dates, cost, and availability.  Email information in a timely manner daily.

• Fulfills requests for summer camp promotional materials, mailing on a daily basis.

• Processes camper registrations for all sessions on a daily basis.  Inputs, maintains and reports camper data in CampMinder database.

• Coordinates closely with summer camp directors regarding registration numbers and housing assignments.

• Processes check and credit card deposits and payments on a daily basis and reconciles payment batches.  Works with accounting department with charges on invoicing and billing.

• Collects and maintains all summer camp paperwork.  Assembles individual summer camper files.  

• Makes follow-up marketing calls as requested, sometimes after regular business hours.

• Produces financial and registration reports from CampMinder database for Executive Director and Marketing Director.   

• Assists with check-in on first day of each camp program, at Long Beach.  Assists with airport pick-ups and drop-offs, as requested.

• Assists other departments as requested. Backup to the Office Manager on answering phones.

• Daily run the “On Line Chat” and facilitate the Drip Campaign.

Requirements

LANGUAGE SKILLS

 

It is a must that you have communications skills to be able to speak clearly to parents and to be able to listen and respond to difficult situations.

 

REASONING/COMMUNICATION ABILITY

 

Being able to manage multiple programs simultaneously.  Organization is a must on the computer as well as files in the office.  Communication skills verbal and written is a big part of this position.  Timely follow up is critical.
