Working closely with the VP of Human Resources and Manager HR Operations, develop and maintain the HR Compliance Strategy while serving as a change agent to promote a culture of compliance within HR and across the company.The HR Compliance Specialist acts as the HR Subject Matter Expert (SME) on all compliance / audit related and regulatory requirementsManage relationships with HR, Finance, Payroll, Internal/External Auditors, IT, Legal, Regulatory and Governmental agencies.Coordinate the preparation and submission of all required HR regulatory reports to appropriate government agencies in a timely manner.
Education: - BA/BS Degree in Business Administration, Human Resources, Audit, Information Technology or related business field of study
Experience Required: • Minimum of 5 years of work experience in Human Resources, EEO or HR Compliance management• Advanced knowledge of Microsoft Excel required, including vlookup, pivot tables, data conversion and reporting• Excellent interpersonal, communication, and customer service skills• Active interest in the development and application of employment law• Functional and systems knowledge to effectively test applied fixes and changes, provide effective error resolution, and develop applicable and accurate reports and to serve as liaison to HRIS for interpretation of HR functional needs• Demonstrated business acumen and analytical skills with experience tracking, analyzing and reporting employee support metrics and providing appropriate recommendations to leadership• Project Manager for ad-hoc HR compliance projects.• High level of initiative and drive to quickly resolve problems• Exceptional organizational skills, including the ability to accomplish demanding timeline objectives, multi-task on assignments• Must be able to work effectively at all levels - strategic, operational, and tactical• Certified Regulatory Compliance Manager (CRCM) - Preferred• Workday HRIS certification and/or experience - Preferred
Essential Functions:• Independently lead HR Compliance Reviews/ Testing to identify risks to the company and instances of non-compliance with federal and/or state laws and regulations. Leverage subject matter expertise to develop and recommend remediation plans for identified issues. • Manage internal compliance with HR Compliance Review/Testing schedule and recommend changes/alterations to HR Leadership, when necessary.• Focus on the HR Compliance Strategy of promoting a culture of compliance within HR and across the company by providing ongoing consultation. This includes, proactively assessing all department projects in the inception phases and proposing compliance guideposts. Forecast future risks for non-compliance to the supporting project managers and/or the business owners.• Leverage subject matter expertise, provide responses, advice and guidance to the business in response to their compliance-related inquiries. When necessary, perform research and make determination as to whether involvement of SJI Legal is required.• Proactively review and interpret complex legal and regulatory requirements that apply to HR processes and communicate accordingly to impacted functions/teams.• Respond to documentation requests from HR Management, Business, Legal, Internal/External Auditors, and Regulatory Agencies surrounding an audit/testing/review/state & federal exams.• Proactively monitor business processes with a focus on compliance with legal and/or regulatory requirements to identify opportunities for improvement or areas of deficiency. Cultivate suggested improvement and/or remediation initiatives when necessary.• Develop and/or deliver HR compliance training to the HR Department or a specific HR function as a result of an identified compliance risk or on an as needed basis.• Personnel file management – including maintaining digital and physical records, leading regular auditing and reporting, ensuring accuracy and compliance for all records, and facilitating record requests from stakeholders• Collaborate with local stakeholders to manage labor posters at all SJI locations• Keep informed and up to date on employment law; ensuring compliance with labor regulations (local, State, Federal and regional)• Team Lead for employee data audits• Manage vendor relationships and SLAs, implementing program changes to optimize operational processes• Enhance department and organization reputation by accepting ownership for accomplishing new and different project requests; exploring opportunities to add value• Updates job knowledge by participating in educational opportunities; reading professional publications; maintaining personal networks; participating in professional organizations• Conducts and/or coordinates appropriate compliance training for Human Resources staff when new programs have been developed or enhancements made to existing programs• Performs other duties as assigned.
