The administrative assistant will be the first point of contact for our Lombard office. A customer service attitude is a must! The administrative assistant will play an important role by ensuring that all incoming contracts and other communications reach the appropriate staff members in a timely manner. This role will also be responsible for general office support.

  • Answer incoming calls to the office, directing them to appropriate staff members.
  • Provide excellent customer service support to customers via inbound and outbound calls. Answer basic program questions and refer customers to other staff members as needed.
  • Provide general office support (e.g. maintain program collateral, sort and distribute mail, fax and email communications, assist in meeting preparation, maintain and reorder office supplies as needed, etc.)
  • Maintain customer folders in an orderly fashion, retrieve and file folders and customer information as requested
  • Track and document program activities in relevant software
  • Assist with special projects as needed
  • Additional responsibilities as assigned


  • 2-3 years work experience in a smaller office environment
  • Ability to work in a group environment, balancing multiple tasks and deadlines
  • Outgoing personality and ability to coordinate with co-workers and supervisors to complete above work
  • Excellent customer service skills
  • Attention to detail in all aspects of work
  • Ability to work in a fast paced atmosphere
  • Proficient in Word, Excel and Outlook
  • Excellent written and verbal communication skills
  • Ability to learn new software


Salary Range: Commensurate with experience
