This position provides administrative and data support to the HR Operations and Recruitment processes. Based in Westborough, MA this position supports managers and staff across the US in our regional offices as point of contact for HR questions and employee change processing.


The ideal candidate will thrive in a fast-paced, environment with competing priorities. Attention to detail, accuracy, organizational and advanced computer skills are critical skills.


  • Organizes and prioritizes daily requests for information or action from both internal staff and external resources and agencies.
  • Sets up and maintains data in the iCIMS recruiting system. Works with managers to set up and track job openings and postings and audits data and prepares reports.
  • Prepares offer letters, employment agreements and assembles and mails offer packages to new employees.
  • Initiates and monitors background checks for new employees.
  • Receives and verifies all new hire paperwork and creates new employee records in the HRB database.
  • Creates and maintains employee files, department files and automated records.
  • Processes all employee status change transactions and generates ad hoc reports as requested.
  • Sorts and distributes incoming department mail daily.
  • Administers Employee Recognition Program.
  • Maintains employment posters nationwide.
  • Completes employment verifications and unemployment claims.
  • Prepares correspondence and mailings as needed.
  • Schedules appointments, programs and makes travel arrangements as needed.


  • HS Diploma required, some coursework in HR Management preferred
  • 3-5 years of previous administrative experience required with 2 years of HR experience preferred
  • Strong written and oral communication skills
  • Demonstrated organizational skills
  • Demonstrated experience in report development and execution
  • Advanced knowledge of Microsoft suite of products required, including but not limited to Word, Excel, PowerPoint, Outlook and Visio.
  • Demonstrated ability to multi-task and ability to respond to changing and unpredictable demands of work environment
  • Demonstrated understanding of and sensitivity to confidentiality of records and employee information
  • Previous experience with database maintenance preferred
  • Experience with iCims or HRB systems preferred


Salary Range: Commensurate with experience
