Description

This position will provide administrative support to the delivery of programs and services for the Consulting and Construction Services division at Conservation Services Group. The division works with owners, architects, developers and builders to achieve high performance buildings: healthy, durable, energy efficient, and affordable.

 

Responsibilities:

Customer Service

  • *Answer multiple 800 numbers and assist callers with inquiries regarding program offerings and requirements. Contact field staff or supervisors as needed

MA and RI Code Program Assistance

  • *Coordinate trainings and attendance using third party software
  • *Assist customers with enrollment in trainings
  • *Create attendee packets and generate attendance certificates
  • *Track metrics and produce monthly reports as needed

MA New Construction Program Project Enrollment

  • *Collect and verify enrollment paperwork
  • *Follow up with field staff to complete necessary documentation
  • *Enter into internal and external tracking systems
  • *Update internal database with enrollment confirmation

MA New Construction Program Data Entry and Billing

  • *Process first and final inspection paperwork
  • *Enter data and backup documents into external system
  • *Enter data into internal database
  • *Verify accuracy and follow up on issues with field staff
  • *Process and track CFL orders
  • *Coordinate direct shipments to customers
  • *Process internal credits with EFI
  • *Resolve discrepancies with Program Administrator

Collections

  • *Track outstanding invoices and follow up with field staff and customers as needed

RI High Efficiency Equipment Verification

  • *Verify eligibility of equipment for incentives
  • *Provide Customers with Reports
  • *Distribute Home Energy Rating Certificates, Tax Credit and others as needed

Conference Scheduling

  • *Coordinate events with internal marketing staff and program group
  • *Arrange program staffing

Maintenance of memberships, subscriptions, dues, licenses, publication library, field staff certifications and QAQC, and purchasing of equipment and supplies

 

Additional duties as determined by management

 

Requirements

Qualifications:
  • *HS Diploma or equivalent education required, BA/BS preferred
  • *2-4 years administrative experience in an office environment.
  • *Strong oral and written communication skills
  • *Strong mathematical skills
  • *Demonstrated interpersonal skills and team orientation
  • *Detail orientation and ability to balance multiple tasks and deadlines
  • *Proficient in Microsoft Word, Excel and Outlook
  • *Database experience required

 

Salary Range: Commensurate with experience
