As an Administrative Assistant/Equipment Coordinator, you will based in our Fort St. John, British Columbia, office as part of our team.

The successful applicant will be involved in a broad range of activities with responsibilities as follows:

Administrative:

  • Perform various tasks such as shipping, organizing and filing electronic and paper documentation and records management, as required;
  • Plan, support and coordinate meetings and workshops including drafting and distributing agendas, and transcribing and distributing minutes;
  • Support employees with travel and accommodation arrangements;
  • Coordinate facility vendors, services agreements, maintenance and safety inspections;
  • Support event management for internal, client, and job fair events;
  • Maintain procedure manuals as necessary;
  • Manage office and kitchen supplies and replenish when necessary;
  • Assist with data entry, pre and post field data requests and scanning and filing of information associated with field activities;
  • Complete other duties and support projects, as required.

Equipment:

  • Actively participate in maintaining Montrose’s strong safety culture;
  • Dispense personal safety equipment;
  • Coordinate fleet and rental trucks, and inspect, clean, and manage maintenance of vehicles;
  • Inspect, clean, calibrate, and repair field equipment and document in Montrose tracking software;
  • Learn and understand equipment use and maintenance and share knowledge throughout the company;
  • Ship and receive equipment and supplies between offices and vendors;
  • Maintain inventory levels/stock of equipment and consumables, and replenish as necessary;
  • General cleanliness of warehouse.

We Area Looking for a Candidate With the following Education, Experience and Technical Skills:

  • Relevant certificate, diploma or equivalent, preferably in business management, office administration or a related field;
  • Have a minimum of 3-years of experience in a fast-paced administrative role, supporting a high energy team in a customer service environment;
  • Previous experience within a consulting environment and familiarity with environmental equipment considered an asset;
  • High level of organization, attention to detail and communication skills (written and verbal);
  • Excellent time management and ability to manage a diverse workload and changing priorities;
  • Ability to handle confidential and sensitive information with required discretion;
  • Strong interpersonal skills and the ability to work with employees at all levels;
  • Ability to lift up to 50 pounds;
  • Knowledge of fleet and rental management and basic vehicle repair would be considered an asset;
  • A valid class 5 driver’s license with no restrictions and clean driving record;
  • Motivated, responsible, and accountable for self-development and learning in support of this position;
  • Advanced skills in MS Office suite (Word, Excel, PowerPoint, Outlook).

This is a permanent position with an hourly rate range of $24.00 to $37.50 per hour, starting pay is dependent on multiple factors, such as skills, experience and work location.
