Position Overview

The Apollo Human Capital team is responsible for managing HC processes and strategic initiatives which span the employee lifecycle, including recruitment, onboarding, training and development, performance management, organization planning, compensation, analytics, immigration and employee engagement.

We are seeking a highly organized and detail-oriented Recruiting Coordinator to join our Talent Acquisition team. The ideal candidate will be responsible for managing the logistics and scheduling of the recruitment process, ensuring a seamless and positive experience for candidates and hiring managers. This role requires excellent communication skills, the ability to multitask, attention to detail, fluency with excel, and a passion for providing exceptional candidate management. As a member of the Human Capital team focused on recruiting coordination within the Talent Acquisition team, you will partner closely with recruiters, admins, search firms, candidates and business leaders daily.

Primary Responsibilities

  • Scheduling and Coordination: Arrange interviews, meetings, and other recruitment-related events, ensuring all parties are informed and prepared.

  • Candidate Management: Serve as the primary point of contact for candidates throughout the recruitment process, providing timely updates and support.

  • Documentation and Reporting: Maintain accurate records of candidate interview schedules and recruitment metrics. Generate reports as required.

  • Communication: Liaise with hiring managers, recruiters, and candidates to ensure smooth communication and a positive recruitment experience.

  • Process Improvement: Identify opportunities to streamline and improve recruitment processes and candidate experiences.

  • Internships: Play an active role in the recruitment process and program management for all internships in the region.

  • Invoices: Process all recruitment related invoices.

Qualifications & Experience

  • 1-2+ years of relevant recruiting coordination experience successfully supporting a complex, global, organizational structure

  • Demonstrated track record of success executing a results-driven recruiting strategy within a fast-moving, highly dynamic company

  • Experience managing internal and external stakeholders

  • Proven success at building relationships and credibility quickly at all levels of the organization

  • Experience with leveraging data to create clear and concise recruitment pipeline reports

  • Experience working with Excel (pivots, v-lookups, formulas, etc.)

  • Identify strengths and opportunities within current processes and programs

  • Working knowledge of Workday ATS is a plus

  • Excellent organizational, communication, presentation, and interpersonal skills

  • Ability to manage multiple assignments and roles simultaneously

  • Comfort managing high volumes of interviews

  • Bachelor’s degree or equivalent work experience preferred
